This policy explains how we collect, use, store, record, and share your personal data when you interact with our services — including Reactoo Studio, the Reactoo Guest companion app, generic embeddable element integrations, custom third-party integrations, AI-powered tools, and our website contact and demo request forms.

By using our services, submitting an enquiry through our website, uploading media, transmitting streams, or interacting with any embedded Reactoo integration, you agree to the practices described in this policy.

1. Who This Policy Applies To

This policy applies to:

  • Platform Users & Clients: Organisations, broadcasters, content creators, or enterprise partners using Reactoo Studio or embedding Reactoo integrations into their digital properties.
  • Reactoo Guest Companion App Users: Individuals using the Reactoo Guest companion application to connect to shows, submit media, or participate in interactive sessions.
  • Participants and Viewers: Members of the public who engage with our interactive modules — including generic embeddable elements (e.g., Video Wall, Watch Room, Guest Room, Webinar Room, Intercom, Video Message, Commentary Booth, Drawing Room, Meeting Room) or custom third-party integrations — by watching, broadcasting, sending media, chatting, or joining live.
  • Website Visitors & Enquiries: Individuals who visit reactoo.com and submit a demo request, contact form, or app support enquiry without necessarily holding a Reactoo account.

2. What Information We Collect

A. Account & Profile Data

We collect personal data when you register, manage account settings, or set up integrations:

  • Full name, display name, and contact details
  • Email address and login credentials
  • Organisation or business metadata
  • System activity, usage logs, and preference settings
  • IP address, mobile device identifiers, browser specifications, and network diagnostics
  • Connected social media profile details (when integrated)
  • Billing and payment details (processed via secure third-party payment providers)

B. Uploaded Assets, Live Streams, & Integration Data

When you interact with Reactoo Studio, the Reactoo Guest companion app, or any generic or custom third-party integration (e.g., embedded video walls, watch rooms, or video message widgets on partner sites), we collect, record, and process:

  • Incoming Streams & Uploaded Assets: Live video, audio feeds, recorded media, graphics, images, and documents uploaded to or transmitted through our platform.
  • Interactive Content: Chat messages, Q&A entries, and live audience feedback.
  • AI Interactions: Prompts, inputs, voice data, and responses submitted when interacting with conversational AI chatbots or automated features.
  • Technical Metadata: Stream health diagnostics, resolution parameters, device logs, and connected profile IDs.
  • Hardware & Device Specifications: Hardware specifications and connected media device information, including microphones, cameras, and audio output/speaker details.

C. Contact, Demo & Support Enquiries

When you submit a demo request, contact form, or Reactoo Guest app support enquiry through our website, we collect:

  • Full name and work email address
  • Organisation or company name
  • Your message and any details you choose to include about your project, property, or support issue
  • Enquiry type (for example, demo request or app support)
  • Technical data processed by Google reCAPTCHA to help prevent spam and abuse (such as IP address and browser signals)

3. How We Use Your Data

We process your information for the following core purposes:

A. Service Delivery, Integrations, & Stream Processing

  • Provide, operate, and maintain Reactoo Studio, the Reactoo Guest companion app, and third-party integrations
  • Record, process, ingest, and store incoming streams and uploaded media assets for real-time broadcast and archive management
  • Power real-time interactive modules (e.g., Video Walls, Watch Rooms, Intercoms, and Commentary Booths)
  • Connect and manage third-party destinations, including creating, scheduling, listing, and delivering live streams to YouTube
  • Manage account access, administrative permissions, and user sessions
  • Troubleshoot technical issues, optimize stream quality, and deliver support

B. Artificial Intelligence (AI) Training & Feature Development

  • Train, fine-tune, test, and improve Reactoo’s proprietary AI models and machine learning algorithms using media produced on our platform — including uploaded assets, stored media, and incoming live streams that you provide through Reactoo Studio or related tools
  • Operate conversational AI chatbots, virtual assistants, and automated interaction tools
  • Enhance automated media processing, sentiment/emotion analytics, real-time audio/video transcription, and content moderation tools

Google user data obtained via YouTube or other Google APIs is not used for AI training, model development, or unrelated secondary purposes. AI features operate on content you create or upload through Reactoo; connecting Google services does not supply data for those training processes.

C. Public Interactivity & Partner Broadcasts

  • Display live streams, viewer media submissions, or chat messages across host feeds, video walls, or on-demand content
  • Enforce our Community Guidelines, safety policies, and content moderation

D. Website Enquiries & Communications

  • Respond to demo requests, sales enquiries, and general contact messages
  • Provide support for the Reactoo Guest companion app
  • Follow up on conversations you initiate with us
  • Protect our website and contact forms from spam, fraud, and abuse

4. Legal Basis for Processing (UK GDPR & DPA 2018)

We process personal data under the following legal bases:

  • Contractual Necessity: To fulfill contracts with clients and users, enabling live streaming, companion app functionality, and integration delivery.
  • Legitimate Interests: To record, store, and process streams and media assets; train and improve our AI models; secure our infrastructure; prevent fraud; and respond to website enquiries, demo requests, and app support messages you send to us.
  • Consent: When you voluntarily submit incoming video/audio streams, upload assets, interact with AI features, or submit a website contact or demo form. You may withdraw consent at any time.

5. Sharing Your Information

We do not sell personal data. We do not sell Google user data. We share information only with:

  • Hosts & Partner Platforms: Content and incoming streams submitted to custom or third-party integrations are shared with the client operating the integration and may be broadcast to their audience.
  • Infrastructure & AI Service Providers: Trusted third-party vendors providing cloud storage, video processing, streaming infrastructure, analytics, and AI technology support.
  • Connected Social Services: Third-party platforms (e.g., YouTube, Google, Facebook) when users link their accounts or re-stream content externally.
  • Legal Authorities: When required by law, court orders, or to protect rights and system safety.

6. International Data Transfers

Streams, uploaded assets, and personal data may be stored or processed outside the UK or EU. In such instances, we enforce Standard Contractual Clauses (SCCs) or rely on recognised adequacy decisions to ensure robust data protection.

7. Data Retention

  • Account Data: Retained for as long as your account remains active or as required by law.
  • Streams & Media Assets: Recorded streams, uploaded assets, and integration contributions are stored as part of production archives or host media libraries until deletion is requested by the account owner.
  • AI Training Data: Stored media assets, audio/video streams, and interaction logs used for AI model training are retained in accordance with our data lifecycle and optimization procedures. This does not include Google user data obtained through YouTube or other Google API integrations.
  • Google User Data: Retained only for as long as your Google/YouTube connection remains active and is needed to provide the connected features. When you disconnect YouTube in Reactoo or revoke access in Google, we delete associated Google user data and OAuth tokens in accordance with our data lifecycle procedures, except where retention is required by law.
  • Enquiry & Contact Form Data: Retained for up to 24 months after your enquiry is resolved or our last communication with you, unless a longer period is needed for ongoing discussions, contractual follow-up, or legal obligations.

8. Your Rights

Depending on your location, you may hold rights to:

  • Access the personal data and media assets we store about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your data or uploaded assets ("right to be forgotten")
  • Object to or restrict data processing (including opting out of certain AI uses where applicable)
  • Withdraw consent where processing is based on consent
  • Lodge a complaint with a regulatory body (such as the UK Information Commissioner's Office - ICO)

9. Cookies and Tracking Technologies

Our website, the Reactoo Guest companion app, and embedded integrations use cookies and tracking tools to maintain active user sessions, optimize media delivery, analyze performance, and enforce security.

Our contact and demo request forms use Google reCAPTCHA to help prevent spam and automated submissions. Google may process technical information such as your IP address, browser details, and interaction signals when reCAPTCHA runs. This processing is governed by Google's Privacy Policy and Google's Terms of Service.

10. Security

We deploy technical and organizational measures to safeguard uploaded assets, live streams, and personal data. However, no digital storage or internet transmission can be guaranteed to be 100% secure.

11. Google User Data (YouTube API)

Connecting Google is not a login to Reactoo. Google authorisation links YouTube Live as a destination in your Reactoo account. We access, use, store, and share Google user data only as needed to create, prepare, schedule, list, manage, and deliver live streams to your YouTube channel, and to display YouTube live chat in Reactoo Studio. This may include your Google account and channel identifiers, live broadcast metadata, OAuth tokens, stream delivery details, and live chat content. We do not request or use Google user data for any other purpose.

Google user data is stored securely while the YouTube connection remains active and is deleted when you remove the connection from your destinations list in Reactoo Studio or revoke access in Google Security Settings, except where retention is required by law. We do not sell Google user data, use it for advertising or AI training, or share it except with Google/YouTube to perform authorised API operations and with infrastructure providers that operate the integration on our behalf.

Reactoo’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Connecting YouTube is subject to YouTube's Terms of Service and Google's Privacy Policy.

12. Changes to This Policy

We may update this policy periodically to reflect advancements in our technology, AI training, integrations, or legal compliance. Updated versions will be posted with a revised "Effective Date" at the top of this page.
